Overview
Wouldn’t it be nice to have an “Early Warning System” that will let you know when something is about to fall through the cracks? For example, if A/R is exceeding its limit, or if rent has gone uncollected for several days.
People aren’t constantly looking at reports or dashboards to for such conditions, so it Automated Alerts are do the job instead.
Purpose
To send out emails or text messages when certain conditions are detected, for example, “Service Tickets Open Longer Than 10 Days”.
How to Use
Decide which conditions you need your team to be alerted to.
Decide who needs to be notified (distribution list) and how.
Metric-X can write the code that will query your systems to determine if an alert should be sent out (depends on which system the data is in).
Examples
Examples of alerts you can set up:
- Service Tickets still open after 10 days
- Accounts Receivables Balance > $100K
- Rent payments overdue by 2 days
- Lease applications with no action taken in past 5 days
Video Script
- Having to run a report each time you want to know if everything is going as expected can become tiresome.
- An alternative is to check the key metrics regularly.
- Teams that want to stay on top of their metrics have developed a cadence of regular meetings and reports to highlight any variances.
- While regular meetings and report are a good practice, things still fall through the cracks
- Variance Alerts are programs that constantly run in the background and check on things
- For example, Variance Alerts can be set up to monitor situations such as :
- Service Tickets still open after 10 days
- Leases expiring within 30 days
- Rent payments overdue by 2 days
- Lease applications with no action taken in past 5 days
- Typically an email or text message is sent to the concerned individuals when a variance is detected
- Let us know if you would like to set up such alerts.
